Terms and Conditions – Supply of Services

  1. Acceptance of Terms and Conditions – by issuing a Purchase Order the Customer accepts the terms and conditions set out in this document
  2. Billing for Services –labour and expenses will be billed for on a weekly basis.
  3. Payment Terms – the standard payment terms for all projects with Triumph FLEX are 30 calendars from the date the invoice is produced.
  4. Acceptance of an order – A Purchase Order is required for all projects to prove the acceptance of an order. No engineer scheduling will be made until a Purchase Order is provided.
  5. Day Rates – Triumph FLEX day rates are based on a standard 8-hour working day 08:00 – 16:00 with one half-hour break. The price does not include inner M25 locations (for which an additional premium is applied), hotels, PD’s/subsistence, travel, or other expenses incurred during an assignment, i.e. parking, tolls and emission zones. Overtime charged hourly at 1/8th of the standard day rate.
    1. Weekends – For works completed on a weekend the following charges will be made:
      1. Saturday – 1.5x standard day rate
      2. Sunday – 2x standard day rate
    2. Out of hours working – works completed out of hours will be discussed on a case by case basis.
    3. Inner M25 and outside of mainland UK – for any works falling inside the M25 or outside of mainland UK an alternative rate may be applied. This will be discussed on a case by case basis.
  6. Expenses – The following expenses policy applies.
    1. Mileage: Mileage is charged at 45p per mile on all assignments. Mileage is calculated from Worksop to the assignment location using Google Maps. We can give you an indication of the mileage charges prior to the assignment. For Silver and Bronze tier customers, the first 50 miles of each days travel will be free of charge.
    2. Hotels: Hotels within mainland UK (excluding inner M25) are charged at £90 per night. Assignments within M25 or outside mainland UK may be subject to an increased rate, this rate will be discussed on a case-by-case basis. 50 miles is the threshold for hotel charges being applied on multiple day assignments.
    3. Subsistence: A £20 charge is levied for every night away from home to cover food and drink. This charge is subject to surcharges within the M25 and outside of mainland UK.
    4. Parking: Parking is re-charged at cost. Copy receipts are available for parking upon request. Congestion Charge, Clean Air or Emission Zone charges are billed at cost.
    5. National and International: National and International transport (e.g. rail, air or sea travel)will be discussed on a case-by-case basis. Where possible we will give you an indication of the costs prior to the assignment.
    6. Materials: Whenever we are required to purchase materials on behalf of the client, we will seek verbal or written authorisation from the client prior to purchasing the materials. We will apply a 20% markup on all materials purchased on behalf of the client.
  7. All prices shown in this document are ex VAT.
  8. All assignments are on an estimate basis only – Triumph FLEX do not offer quoted price work. Ahead of a project we can work with you to provide an estimate of the amount of time involved in a project. We will not agree a fixed price for a project in advance.
  9. All consumable usage is subject to our fair use policy - The consumables provided by our engineers are for the sole use of Triumph FLEX engineers and will not be distributed to other engineers. We allow for sufficient consumables for our engineers to complete a typical AV project. For consumable intensive works, such as Rack Build, it is expected that provision will be make for this by our client.
  10. Warranty – Triumph FLEX provides the following warranty:
    1. Workmanship Warranty – we guarantee to rectify any faults arising from our installation works directly related to the equipment we have installed for 12 months after the completion of the project. This warranty is valid for mainland UK only.
  11. Guarantee – Triumph FLEX applies the following guarantee to all orders:
    1. No fuss guarantee – We will use the best quality standards and techniques to ensure that the works completed will be free from defects in workmanship and installation. If a defect is detected we will work with you to rectify this free of charge. If you want a particular standard or technique to be used within the works this must be communicated in writing ahead of the start of works. This guarantee is valid in mainland UK only.
  12. Cancelations - Triumph FLEX operate three levels of cancellation policy:
    1. Bronze – Free cancellation up to 1 calendar week before the commencement of an assignment. Any cancellation after this point 50% of the first weeks labour will be billed to you.
    2. Silver – Free cancellation up to 2 working days before the commencement of an assignment. Any cancellation after this point 50% of the first weeks labour will be billed to you.
    3. Gold – Free cancellation up to the day of the assignment.

For all tiers, any expenses incurred by Triumph FLEX prior to the cancellation will be billed to the customer in the event of a cancellation.
