Terms and Conditions – Rack Build Services

1. Definitions

    • “Company” refers to Triumph Flex, a trading name of Coupland Services LTD.
    • “Client” refers to the organisation or individual purchasing rack build services.
    • “Services” means all AV rack build, wiring, assembly, testing, documentation, and associated engineering work provided by the Company.
    • “Equipment” means any hardware, materials, or components supplied by either the Company or the Client for use in the rack build.

2. Scope of Services

2.1 The Company will provide professional AV rack build services including but not limited to:

    • Component installation
    • Internal wiring and cable management
    • Labelling
    • Testing and verification
    • Documentation and handover

2.2 Any additional services (on-site commissioning, design, CAD drafting, project management, etc.) are subject to separate quotation and agreement.

3. Pricing & Quotations

3.1 All quotations are valid for 30 days unless stated otherwise.

3.2 Pricing is based on the information provided by the Client. Changes to specifications, equipment lists, or deadlines may result in revised pricing.

3.3 All prices are exclusive of VAT unless stated.

4. Payment Terms

4.1 The Company operates under strict 30‑day payment terms, unless agreed otherwise in writing.

4.2 Late payments may incur interest charged at 8% above the Bank of England base rate, in line with UK late payment legislation.

4.3 The Company reserves the right to pause work or withhold delivery until outstanding payments are settled.

4.4 The Company will raise an invoice upon collection or delivery of the completed rack.

5. Client Responsibilities

The Client must:

    • Provide correct and complete equipment lists, drawings, schematic, or build specifications.
    • Deliver any client‑supplied equipment to the Company’s specified location on time and in good working order.
    • Notify the Company of any compatibility or configuration requirements.

6. Equipment Supply & Ownership

6.1 Any materials supplied by the Company remain the property of the Company until invoices are paid in full.

6.2 Equipment supplied by the Client remains their property; the Company is not liable for pre-existing faults or defects.

7. Delivery, Collection & Logistics

7.1 Clients may deliver equipment, components, or materials to Triumph Flex up to 2 weeks prior to the scheduled rack build.

7.2 Completed racks must be collected within 1 week of the documented completion date.

7.3 Transport can be arranged by the Company at an additional charge. For some packages this may be included.

7.4 Risk passes to the Client upon collection by the Client or their courier or delivery to the Clients specified location by us.

7.5 When opting for Hand Delivery, a safe clear route must be available for the rack to be rolled into the destination room, including suitable lift access where required. The Client must disclose any restrictions such as stairs, narrow corridors, limited lift access or surface issues prior to delivery.

Failure to do so may result in additional costs, refusal to deliver or delays.

8. Quality Assurance & Testing

8.1 All racks will undergo internal testing and verification prior to handover.

8.2 Documentation may include wiring schedules, load assessments, as‑built photos, or test results depending on the agreed scope.

8.3 Any defects arising from the Company’s workmanship will be rectified free of charge within a reasonable timeframe.

9. Variations & Additional Work

9.1 Any changes to specifications, equipment substitutions, or additional tasks requested by the Client must be confirmed in writing.

9.2 Additional work is chargeable at the Company’s standard engineering rates.

10. Liability & Warranty

10.1 The Company is not responsible for delays caused by incomplete information, late equipment supply, or third‑party issues.

10.2 Warranty covers workmanship only and does not extend to equipment supplied by the Client or manufacturers.

10.3 The Company’s total liability is limited to the value of the contracted services.

11. Cancellation Policy

11.1 The Client may cancel a booked rack build slot up to2 weeks before the scheduled build start date with no penalty.

11.2 Cancellations made within 2 weeks of the build slot may incur charges.

11.3 The Company will make reasonable efforts to accommodate rescheduling requests.

12. Confidentiality

Both parties agree to keep project information, documentation, and client data confidential unless permission is granted for release.

13. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.
